Quail Run PTO Meeting - Agenda & Notes

November 14, 2024 6:00 pm Murf’s Grille

PTO Officer Attendees: Erika Kramer (Co-Chair), Tom Pasniewski (Co-Chair), Anna Landis (Co-Chair), Amy Shealy (Treasurer)

Treasurer Update

Budget update for 2024-25 school year: budgets on target, need to separate out CheddarUp concession from conference donations
Birthday Book Club replenishment

Winter Class Parties (12/19, prep night 12/18)

- Activity:

Build a snowman - toilet paper, hat, scarf,
Snowman bowling - snowman face solo cups, indoor snowballs,
Feed the Snowman - stacked boxes with cut out mouth and belly toss in indoor snowballs.
Reindeer ring toss - box with reindeer face and either stick or cardboard antlers, twisted pipe cleaner rings to toss

- Craft

Attendees liked penguin lacing craft minus the “dreamcatcher” tasseled, Indigenous connotations
Open to other craft ideas

- Snack

Drink: honest juice boxes (Lauren), coffee filters for popcorn (Lauren), Popcorn (Anna, buy2get2 from movie theater), sweet treat (Lauren will do recon at Costco, possibly granola bars or rice crispy treats)

- Sign Up Genius for Party Supplies - in FF on 11/22 & 12/6, supplies due by 12/13

- Party Prep Night List:

Add “return bin to lunch room” label to totes with instruction sheet and party supplies.
Instruction 1 page sheet specific to tote contents. Separate one pagers for K-2 & 3-5 parties
Bag popcorn, use coffee filters instead of napkins, get food grade gloves from cafeteria
Divide supplies and place in totes for classrooms
Deliver totes to tables outside classrooms
Email room parents instructions prior to day of party
Instruction sheets separate from supply list in bins

Miscellaneous

- Ask Emery to announce on PA system the “start” and “end” of parties for room parent time management

- Donation Drive

Ballard Center, Willow Shelter, Tiny K, Just Food, DCCA, KVC see what needs are
BGC doing coat/winter accessory drive currently
Tom to reach out to Alexa Bright about an after holiday drive option

- STUCO

- Shirts

- Other Opportunities for STUCO and participation at PTO events

- Other committee updates

Making separate CheddarUp Collection for bulk snack buying and 5th grade committee will push out

- Second Semester Calendar

Jan back to school breakfast for teachers Tom’s Coffee or Uplift
Extra treat(s) for teachers in Feb, ask Kari
Possible coordination with Uplift with Bike to School day or Walk to School day possibly at Rev City
“Summer Send Off” instead of Spring Fling check with Stacie. Possible date 5/17

- 2024 co-chairs - need to start considering options and officers are open to suggestions! Possibly Kyra and possibly Jenn Eakin? Email all the parents that signed up at beginning of year to gage interest, mention on FF, website

- WINTER DECORATING:

- make snowflakes in FF

- decorating date moved from 12/8 to Wed 12/4, smaller group than whole committee in consideration of holiday time constraints, Chair Erin McElroy unavailable, PTO liaison Erika Kramer unavailable for original date

- BY LAWS: ad hoc committee to meet 12/2, Amy request to add a co-treasurer position

- Email blast PTO volunteers for Dec meeting and encourage new officers interest

- Keif from BGC looking for Americorps volunteer opportunities- help assist/run Pancake Feed, Carnival?
